Camera-ready submissions

Mandatory step-by-step camera-ready guidelines:

  1. SMAP 2020 proceedings will be published by the IEEE, and all papers are expected to be formatted according to the IEEE Author Final Paper Preparation and Submission Instructions. Please use the templates found at: https://www.ieee.org/conferences/publishing/templates.html. We remind you that the regular paper length is considered to be *6 pages*. An option to buy additional pages is available during the registration process.
  2. The appropriate copyright clearance code notice *is to be added at the bottom of the first page of each paper before creating the camera-ready PDF* according to the guidelines set forth in the Cataloguing/Copyright Instructions for an IEEE Conference Proceeding, as follows:
    • For papers in which all authors are employed by the US government, the copyright notice is: U.S. Government work not protected by U.S. copyright
    • For papers in which all authors are employed by a Crown government (UK, Canada, and Australia), the copyright notice is: 978-1-7281-5919-5/20/$31.00 ©2020 Crown
    • For papers in which all authors are employed by the European Union, the copyright notice is: 978-1-7281-5919-5/20/$31.00 ©2020 European Union
    • For all other papers the copyright notice is: 978-1-7281-5919-5/20/$31.00 ©2020 IEEE
  3. If you use LaTeX and in order to correctly prepare your paper, please make sure that:

  4. You are instructed to use the dedicated IEEE PDF eXpress site: https://www.pdf-express.org/ and enter the following Conference ID: 49258xp to validate your camera-ready papers. Please note that (a) all PDFs to be included in IEEE Xplore® (e.g. title page, copyright page, author index, etc.) should have been validated through PDF eXpress for Xplore compatibility, and (b) any deadlines mentioned in the PDF eXpress site are to be ignored due to the workshop’s new dates.
  5. After steps 1.-4. have been successfully concluded and in order to submit your camera-ready paper you will have to *update/overwrite your initially submitted file* using the Easychair submission interface: https://easychair.org/conferences/?conf=smap2020
  6. According to SMAP 2020 registration guidelines, each paper must have at least one author registered at a *non-student rate* by *Sunday, September 20, 2020*. Registration information is available at: https://smap2020.eu/index.php/registration/
    Please note that this is also a hard requirement. IEEE will remove papers that are not accompanied by an eligible registration type from the list of papers to be included in the published conference proceedings, and, due to the hard deadline, it will not be possible to include papers for which registration has been paid at a later day.
  7. All authors are required to provide a transfer of copyright. IEEE Meetings, Conferences & Events (MCE) will reach out to you with next steps on the Copyright transfer process and further details about the *IEEE copyright release form* will be available directly from the respective IEEE services upon successful author registration and upload of the camera-ready paper to the Easychair system by *Sunday, September 20, 2020*.
